Adaptive AI Detection and Compliance Policy for 220+ cloud accounts

With the support of Flexera One’s optimization and automation capabilities, the organization can now build a structured approach to managing AI usage within its cloud environment. This adaptive policy framework enables ongoing compliance with the AI Act, balancing technological innovation with regulatory requirements for responsible AI governance.

Customer

A large organization managing over 220 cloud accounts, utilizing AI technology across various cloud-based applications. They were experiencing an alarming rise in cloud expenditures across multiple accounts. Without adequate oversight and control measures, cloud spend had been escalating unpredictably without any visibility on AI technology usage. The existing setup lacked automated monitoring, making it difficult for the team to govern on any inappropriate usage of AI technology.

Challenge

Enable visibility, monitoring, and compliance for AI usage in the cloud to align with the regulatory requirements of the European AI Act.

Key goals included:

  • Gaining visibility into usage of AI technology across cloud accounts.
  • Automatically identifying and reporting any usage of AI capability running in the cloud of the organization.
  • Proactively engaging stakeholders for cost management and accountability enabled by meaningful reporting and alerts.

Solution

To address these needs, the team implemented Flexera One with specific modules for optimized compliance management:

  • Cloud Cost Optimization: Provided insights into cloud utilization, helping to pinpoint AI-related activities and associated costs.
  • Automation Module: Enabled governance over AI deployments through an adaptive detection policy that identifies and tracks AI instances.

The detection policy was tailored to:

  • Identify all AI capabilities in use within the cloud environment.
  • Generate meaningful reports and alerts detailing AI service usage, associated accounts, and relevant compliance information.
  • Alert account owners to facilitate verification of AI usage compliance with the AI Act.

Results

This project delivered key improvements in compliance and governance:

  • Enhanced AI Compliance: The organization can now engage account owners and stakeholders to assess and validate AI usage in line with the AI Act, fostering accountability and compliance at every level.
  • Improved Visibility and Reporting: Flexera One’s reporting tools offered critical insights into AI usage patterns, enabling stakeholders to understand usage and purpose, as well as monitor costs tied to AI services.
  • Proactive Oversight for AI Technology: The automation-driven alerts ensure that potential compliance issues are flagged early, empowering the organization to address them promptly and maintain regulatory adherence.
